Running an HOA on spreadsheets: what works, what breaks, and when to switch
A spreadsheet can run a small HOA's dues list and budget for free, and many self-managed boards start there. Spreadsheets break on what the law and the IRS expect: separate operating and reserve funds, owner-ready financial statements, records kept for years, and the income split behind Form 1120-H. HOA software that does those starts at $399 a year.
Kahoa makes HOA software, so we have a side. The rules below link to the statutes and the IRS.
What does a spreadsheet handle, and what doesn't it?

| Late fees and reminders | By hand | Automatic |

| Form 1120-H | CPA, from the sheet | Included in Kahoa and RunHOA |

What do the law and the IRS ask of the books?

| Annual budget to owners before the year ends | California, 30–90 days ahead | Cal. Civ. Code § 5300 |
| Annual financial report, stricter with revenue | Florida: cash report under $150k, audit at $500k+ | Fla. Stat. § 720.303 |
| Accrual statements; audit at $100k+ in assessments | Washington | RCW 64.90.530 |
| Keep financial books 7 years | Texas, 15+ lots; Florida | Tex. Prop. Code § 209.005 |
| 60% of income from dues, 90% of spending on the property | Every HOA filing 1120-H | IRS, Form 1120-H instructions |
How do you move off a spreadsheet?
4 steps · about 2 hours- 01Clean the owner tab
One row per home, with the owner's name and email. Save that tab as CSV.
Time30 minutes - 02Total what each home owes
Pick a cutover date and list each home's balance on it. CSV or Excel both work.
Time30 minutes - 03Connect the bank
Link the operating and reserve accounts. Kahoa pulls 24 months of history for the treasurer to sort.
In KahoaSetup → BankTime15 minutes - 04Import and invite
Upload the owner list and balances, check the total against the sheet, then send homeowners the payment link.
In KahoaSetup → Upload directory, then Enter opening balancesTime45 minutes
It's still enough
- The HOA has a handful of homes and few transactions.
- Dues are collected once a year, by check.
- A CPA keeps the real books and files the 1120-H.
The sheet is the risk
- Only one person understands the file.
- Reserve money and operating money share a tab.
- Owners ask for statements the sheet can't produce.
